We (EPL) experienced significant communication challenges with contract staff, who frequently missed important updates and instructions. Many of these employees did not regularly check their emails, and some found it difficult to access or use email platforms due to limited familiarity with such tools. As a result, critical information was often delayed or overlooked. We had to follow up each email with multiple phone calls, creating inefficiencies, consuming valuable time, and leading to inconsistent information flow across teams.

 

OUR APPROACH

EPL conducted an assessment to identify the root cause of the communication breakdown and discovered low engagement with email communication. To improve accessibility and ensure instant information sharing, EPL proposed introducing a more reliable and user-friendly platform — a dedicated WhatsApp communication page for contract staff. This solution leveraged a tool already familiar to all employees, promoting inclusivity and real-time engagement.

 

IMPLEMENTATION

A centralized WhatsApp page was created to serve as the primary communication hub for contract staff. EPL ensured all staff were added to the platform and provided brief training on its use for official updates. The communication process was streamlined by replacing multiple emails and follow-up calls with real-time posts, reminders, and announcements directly on WhatsApp.

 

RESULTS

  • Communication efficiency significantly improved, updates are now received instantly by all staff.
  • The need for follow-up phone calls was drastically reduced, saving managers considerable time and effort.
